Use the free WhatsApp Business app if one or two people handle a manageable number of chats. Move to the WhatsApp Business API when several people need to reply from one number, when you need automation or chatbots, or when you send reminders and promotions at scale. The API costs money (a platform fee plus Meta's per-message fees) but removes the app's limits.
Side-by-side comparison
| WhatsApp Business App | WhatsApp Business API | |
|---|---|---|
| Cost | Free | Platform fee + Meta per-message fees + setup |
| How you use it | Phone app, plus a few linked devices | Through a provider's platform (team inbox, web dashboard) |
| Team access | Limited to a small number of linked devices | Many agents on one number, with chat assignment |
| Broadcasts | Broadcast lists only reach people who saved your number | Approved template messages to opted-in customers at scale |
| Automation | Greeting, away messages and quick replies | Chatbots, AI, routing, CRM and system integrations |
| Starting a chat | Message anyone manually | Pre-approved templates outside the 24-hour window |
| Best for | Solo owners and small teams | Growing teams, high volume, ads-driven enquiries |
When the free app is enough
- You or one assistant reply to most chats.
- You get a manageable number of enquiries a day.
- You don't need to send reminders or promotions to hundreds of people at once.
In this stage, your money is better spent on a clear landing page with a click-to-chat button, so the chats you get are better quality.
Signs it's time for the API
- Chats are being missed because the phone is shared or passed around.
- Several staff need to reply from the same business number, and you want to see who replied to whom.
- You want to automate first replies, qualify leads or answer common questions 24/7.
- You send order updates, booking reminders or promotions to many customers.
- You run Click-to-WhatsApp ads and enquiries spike at certain hours.
What changes when you switch
With the API, you message customers through a platform rather than the phone app. To start a conversation outside the 24-hour window, you must use a template that Meta has approved, and you pay per template delivered. See WhatsApp Business API cost in Malaysia for the numbers.
Traditionally, a number moved to the API could no longer be used in the WhatsApp Business app. Meta has since introduced a coexistence option that lets many businesses keep using the app alongside the API on the same number. Check with your provider whether it's available for your number.
A middle path: AI on top of your enquiries
If your real problem is slow or inconsistent replies rather than team size, an AI Lead System can guide and qualify enquiries before a person takes over. It's often a smarter first step than jumping straight to a full API setup.
